Streamlining IT Refurbishment with Digital Transformation

Advania

About this project

With a new production facility (the Service Centre) built to process one million devices per year, Advania needed a new integrated system, the Reproduction Process System (RPS). We shaped the solution through our software development process.

Result: Successfully digitised the reproduction process, accelerating workflow and minimising errors through reduced human interaction.

Advania - An IT Powerhouse Driving Digital Transformation

Advania is a leading Nordic IT service provider, offering end-to-end technology solutions across managed services, cloud computing, IT infrastructure, and business applications. With a history dating back to 1939, the company has grown into a major player in the European IT market, known for its customer-centric approach and decentralised business model.

In recent years, Advania has pursued strategic expansion through acquisitions, including Content+Cloud in the UK (2021), Valtti Kumppanit in Finland (2022), and RTS Group AB in Sweden (2023). These moves have strengthened its capabilities in cloud services, Microsoft solutions, and IT infrastructure, reinforcing its market position.

By focusing on innovation and sustainable IT solutions, Advania continues to support businesses in their digital transformation journeys, helping organisations modernise their operations while maintaining agility and efficiency.

Imaginary Cloud’s role and involvement with ADVANIA

Imaginary Cloud worked closely with Advania’s stakeholders to design and implement a robust, scalable solution that addressed their business needs. Our role involved understanding their challenges, defining the solution architecture, and leading the application’s development and implementation.

Advania’s existing IT take-back programme relied on manual processes and heavy collaboration with partners like 3stepIT. However, with the launch of a new Service Centre and a target of processing 1 million devices annually, a modern, integrated system was required - leading to the development of the Reproduction Process System (RPS).

Our contributions to the RPS project included designing an intuitive system to guide Service Centre users and minimise errors, automating the refurbishment process to reduce manual data entry, and implementing customisable workflows for different product types. We developed a customer platform for project tracking and key metrics, along with a management interface for data entry and admin tasks. We also ensured user-friendly interfaces, integrated RPS with Advania’s existing systems, and built a scalable system to handle growing data volumes and user loads.

The Solutions Architecture Process (SAP) was implemented to define the solution's technical architecture, its service components, and the technology stack. Next, the Product Design Process (PDP) was followed to define the personas, establish the initial backlog, and design the application. Finally, the Agile Development Process (ADP) was carried out to develop the application.

working model and team

Since Advania was looking for high technical expertise, we followed the Managed Teams working model, which included our product-oriented Designers, Solution Architects, Backend Developers, and Frontend Developers.

Designers: Created user personas, designed intuitive UI/UX, and ensured the application was user-friendly, accessible, and aligned with Advania’s branding and usability needs.

Solution Architects: Defined system architecture, selected technology stack, and ensured scalability, performance, and integration with Advania’s existing systems.

Backend Developers: Developed the core system logic, APIs, and databases to enable secure data processing, workflow automation, and third-party integration.

Frontend Developers: Built user interfaces for the users, customers, and admins, ensuring smooth experiences and implemented designed workflows and features.
